How to use this document

Copy the template below into your quality system. Replace every <<FILL: ...>> placeholder with your company, system, and process specifics, then route it through your own document control, review, and approval. The filled specimen shows one worked example; adapt the numbers and scope to your operation and verify each cited regulation or standard against the current source before you rely on it.

This is a generic, originally worded starting point. It contains no confidential, proprietary, or employer material, it is drafted with AI assistance and reviewed, it is not legal or compliance advice, and adopting it does not by itself create or prove compliance. See the Disclaimer and Terms.

This is a ready-to-use checklist for reviewing a Validation Master Plan, on its scheduled calendar cycle or when a trigger event pulls the review forward. Replace every <<FILL: ...>> placeholder. A filled specimen follows.

Acme Therapeutics pulled its VMP review forward six months ahead of the scheduled 24-month cycle when the CAR-T program moved from Phase 2 into its pivotal trial, per the phase-change trigger the VMP itself defines.

#ItemResultEvidence / notes
1Inventory vs. scopePassCurrent inventory matches stated scope; two new Tier 2 environmental monitoring instruments added and already scored in the risk matrix
2Phase matchFail, triggering the reviewVMP still stated “Phase 2” rigor; program has moved into its pivotal trial, requiring the pivotal-trial-tier comparability protocol rules
5Reference currencyFailReference list still cited “PIC/S recommendations on qualification and validation” generically; updated to PIC/S PI 006-4, in force 1 October 2026

Disposition: minor update required, not a full revision. Section 4 (phase-appropriate rigor) updated to reflect the pivotal-trial-phase row as current, and the reference list corrected. Follow-up owner: VMP owner, due within 10 business days. Next scheduled review reset to the normal 24-month cycle from the update date.

Common inspection findings this checklist prevents

  • A VMP whose stated phase no longer matches the company’s actual phase, discovered only when an inspector asks and the answer does not match the document.
  • A superseded reference sitting in the VMP’s reference list past its replacement’s effective date.
  • A periodic review that happened on paper, signature and date recorded, without any of the actual content being checked against current reality.

How to adapt this checklist

  1. Set your own calendar cycle in the disposition section; the specimen uses 24 months, adjust to your program’s risk profile.
  2. Add any trigger specific to your organization, a licensing event or a change in ownership structure, beyond the ones listed here.
  3. Keep every completed checklist on file; a single current checklist without a review history is itself a finding.
